Card transactions are not synchronising to bexio: What can I do?

This article explains why card transactions are not synchronized to bexio and how to ensure they are finalized and booked correctly.

If the synchronization to bexio is not working as expected, please check the following points. In general, it is important to understand that card transactions are first posted to a transfer account in bexio and are only finally synchronized to the expense account once the defined requirements have been fulfilled.


1) Is the bexio synchronization activated and properly linked?

For the synchronization to work, the bexio integration must be active, and all required permissions must be granted.

To check the status in amnis:

  1. Click the profile icon in the top right corner

  2. Open bexio

There you can see:

  • whether synchronization is activated,

  • whether it still needs to be activated, and

  • whether all permissions are correctly granted (all items should show a green checkmark).

A successful link to bexio is the basic prerequisite for synchronization.


2) How does the synchronization of a card transaction work?

Once synchronization is active and funds are available on your amnis account, you can use the bexio debit card.

After a card payment, the transaction appears immediately in amnis:

  • Status “pending” (yellow): The amount is reserved. The merchant has up to 10 days to capture the payment.

  • Status “executed” (green): The merchant has captured the amount (usually within 1–2 days).

In bexio, the transaction is posted to the transfer account immediately after the payment is made.


You can find the entry in bexio under: Accounting → Manual postings.

Important: A transaction can only be finalized (i.e., posted to the expense account) once it has the status “executed” in amnis. Transactions with the status “pending” cannot be finalized, as the payment has not yet been completed.


3) When is a transaction finalized in bexio?

For a transaction to be finalized in bexio and posted to the expense account, the requirements defined by your company must be fulfilled.

You can manage these settings in amnis under:

  1. Click the profile icon in the top right corner

  2. Requirements for expenses and accounting

There you define which details must be captured for a transaction (e.g., receipt, VAT).


The category (expense account from bexio) is mandatory and cannot be disabled.

If you additionally enable requirements such as receipt and VAT, these details must also be provided for the transaction to be considered “complete” and therefore synchronized and finalized in bexio.

In amnis, you can identify the status as follows:

  • Green checkmark: Transaction is complete → will be finalized and synchronized to bexio

  • Black exclamation mark: Requirements not yet fulfilled → no final posting


4) Can a transaction be marked as complete manually?

Yes. If, for example, a receipt is missing or not required (e.g., for small amounts), a card administrator can manually mark the transaction as “complete”.


Important: Only transactions marked as complete (green checkmark) are finally synchronized to bexio and posted to the expense account.
