What is changing with amnis pricing?
amnis is changing to user-based pricing. Depending on your plan, a certain number of users is included for free, with additional users charged individually. For companies using Expense Management, cardholders also count towards the total number of users.
Whether you're wondering who counts as a user, what happens when Expense Management is enabled or disabled, or how many users are included in your plan, you'll find the answers below:
Who counts as a user?
Every user counts except for the following:
Read-only users never count
Restricted users (card-user-only) only count in case the Expense Management is activated, and the user holds active cards
Each user is counted once per billing period (month-end), regardless of how many actions they take.
There is no pro-rata calculation. Similarly, if Expense Management is activated at any point during a period (month), restricted users (card-user-only) are counted for that full period.
How many users are included for free in my plan?
Launch: 3 users included
Essential: 6 users included
Professional: 6 users included
Additional users beyond the free allowance are billed according to our pricing. See the pricing page for details.
What if my user count is below the free allowance?
There is no charge as long as the user count stays within the free allowance.
I am a user and also have a debit card - am I counted twice?
No. You are only ever counted once. If Expense Management is off, the card is for free anyway. If Expense Management is on, you are already counted as a user - holding a card does not add an additional user count.
I have multiple cards as a user or restricted user (card-user-only) - how is that calculated?
As a user or restricted user (card-use-only), you can hold up to 10 active cards. Regardless of how many active cards you have, you are only counted and billed once as a user.
If I don't activate Expense Management, am I charged per card?
No. There are no per-card fees. Cards are never billed individually. The only variable charge is per user, and restricted users (card-users-only) are only counted as users if Expense Management is activated on the account.
The key factor is whether Expense Management is active on your account:
Expense Management active: Per-user pricing applies. Restricted users (card-user-only) with active cards count as users, and the user-based fee structure applies to them.
Expense Management is not active: Cards are completely for free. There is no limit on how many cards can be issued, and no card-related fees will apply
What do I pay for a card if Expense Management is off?
Nothing. Cards are never charged individually. If Expense Management is off, restricted users (card-user-only) are not counted as users, so there is no cost associated with issuing or holding cards beyond the base subscription.
I have restricted users (card-user-only) who don't use Expense Management - are they billed?
Expense Management is a company-wide setting - it cannot be switched on or off for individual users. It either applies to the entire account or it doesn't.
If Expense Management is active, restricted users (card-users-only) with active cards are included in the user count.
If Expense Management is not active on the account, restricted users (card-users-only) are not counted.
Where can I turn Expense Management on or off?
Expense Management can be enabled or disabled under Company Settings → Accounting & Expense Management.
How to enable or disable: When you are in the section of Accounting & Expense Management, you choose your requirements (Request Receipt, Catergory Cost Center and/or VAT). Below, you set which transaction types you’d like to enter this information for.
As soon as you choose, and therefore activate, at least one of them (Card Transaction, Pay-in, Pay-out, PEER-Payment, Fee-Payment, Currency Transaction), Expense Management is turned on.
To deactivate Expense Management, make sure the checkboxes are empty, so no transaction type is chosen.
This is a company-wide setting that applies to the entire account. Note that if it is activated at any point during a billing period (monthly), restricted users (card-user-only) with active cards will be counted as users for that entire period - there is no pro-rata calculation.
I am using bexio Pay - does this apply to my account
Yes. If you are using bexio Pay, the same rules apply. Note that when using bexio Pay, you cannot disable Expense Management - it is always active on the account, so restricted users (card-users-only) are always counted towards the total number of users.
