How can non-registered users upload receipts to debit card transactions?

Learn about the "Magic Link" function, which enables unregistered card holders to attach receipts to their card transactions.

The Magic Link facilitates receipt upload for non-registered amnis card users, enabling them to directly attach receipts to their card transactions without the need to be logged-in. This functionality is relevant for employees without access to the amnis WebApp.

Upon activation of the Magic Link, an email including the receipt upload link is sent to the card holders each time a transaction occurs, guiding them to an interface. On this interface, employees can attach receipts to their transactions without the need to log in to amnis. Plus: the interface is accessible from any device, ensuring maximum flexibility.

This feature caters to companies that solely wish to grant receipt-attaching access to employees. Real-time notifications enable card holders to promptly access the provided link in the email, streamlining the receipt upload process and simplifying expense management for your accounting team.



How to activate the Magic Link

As a card administrator, you can activate the receipt upload notifications for card holders with just a few clicks:

1) Activation while creating and issuing the card

  1. Log in to your amnis account and go to the "Debit cards" section on the left side.

  2. Click on the blue button "New Debit Card" and select either the physical or virtual debit card type.

  3. Follow the instructions for creating the card in this article and complete the following additional steps:

  4. Enable the toggle for "Receipt upload requests" as shown in the image below.

  5. Enter the name and e-mail address below the toggle and save the settings as shown in the image below.

2) Activation after a card has already been created and issued

  1. Log in to your amnis account, go to the "Debit cards" section and select the respective card.

  2. Unfold the "Spending limits & settings" section below the card illustration.

  3. Click on "Edit".

  4. Activate the toggle for "Receipt upload requests".

  5. Enter a name and an e-mail address below and save the settings.

Please note: The entered email address does not have to be a business email address.

How to add receipts to transactions (from the card holder's perspective)

  1. Open the receipt upload link from the e-mail notification in your inbox.

  2. Click on "Add receipt/invoice" as shown in the left image below.

  3. Drag and drop the files or click on "Click to upload" as shown in the top right image below.

  4. Enter further receipt details as shown in the bottom right image below, if needed.

  5. Submit the receipt.

Where to find attached receipts (from the card admin's perspective)

Logged-in users with card administrator rights, such as accountants, can access all employee receipts via their amnis account.

  1. Log in to your amnis account

  2. Go to the transactions overview in the debit card section

Green receipt icon:

Receipt has been uploaded to the transaction and can be downloaded if wished.

Black paper clip icon:

Receipt has not (yet) been uploaded to the transaction.


Tip: To simplify expense management and accounting, users can use the "Documents" filter and apply "with documents" or "without documents" to display only transactions with attached receipts or those with missing receipts in one place.
